Zotero — The Complete Guide: Free Reference Management for Theses and Research

Zotero is a free, open-source tool for managing sources: papers, books, standards, reports and websites. It keeps them in an organised library, lets you read and annotate the PDFs, and inserts citations and a bibliography into your document in any style — without typing a single reference by hand.

How it works

Theses and LaTeX

If you write in LaTeX or LyX, the Better BibTeX extension exports the library to a .bib file that updates automatically. The same reference library then serves both a paper in Word and a thesis in LaTeX.

Standards and engineering documents

You can add items of type “standard” or “report” manually — for example a national standard, a Eurocode or a lab report — and attach the file. That way all the literature for a project lives in one place.

Costs

The software is completely free. Syncing between computers is included; Zotero's cloud file storage is free up to 300 MB and paid beyond that — but you can sync files through WebDAV or keep them local.

The bottom line

For every graduate student and every engineer who writes papers or reports with references, Zotero saves hours and prevents citation errors. Free, open and available on Windows, macOS and Linux.
